Client Responsibilities

To ensure the success of the project, we kindly request Jilmil's participation and timely completion of the following responsibilities:

Content Provision

  • Product information, descriptions, specifications, and categories
  • High-quality product images following the provided specifications
  • Brand assets including logos, brand guidelines, and visual materials
  • Company information, policies, and legal content

Review & Approval

  • Timely review and feedback on design concepts, wireframes, and mockups
  • Approval of key deliverables at milestone checkpoints
  • Participation in UI/UX review sessions and user acceptance testing
  • Final approval signoff for website launch

Account & Service Access

  • Provide access to relevant accounts (Shopify, domain registrar, hosting, etc.)
  • Set up and provide access to third-party services such as payment gateways, shipping providers, and email marketing platforms
  • Provide necessary API keys and access credentials for integrations

Training Participation

  • Ensure relevant team members are available for scheduled training sessions
  • Actively participate in knowledge transfer sessions
  • Communicate training requirements and specific areas of focus

Timeline Adherence

  • Provide feedback and approvals within agreed timeframes to prevent project delays
  • Supply requested content and materials according to the project schedule
  • Timely communication regarding any concerns or requested changes

Assumptions & Exclusions

Assumptions

  • Jilmil will provide all necessary brand assets, product information, and content in a timely manner according to the project timeline.
  • The project will be developed on the Shopify platform using a custom theme.
  • Existing product data and customer accounts will be migrated from the current website to the new platform.
  • Jilmil has or will establish accounts with all required third-party services (payment gateways, shipping providers, etc.).
  • Project communication will primarily occur through email, virtual meetings, and shared project management tools.
  • Any delays in client feedback or content provision may result in corresponding shifts in the project timeline.

Exclusions

  • Content creation services (product descriptions, photography, videography) are not included in this scope.
  • Custom app development beyond standard Shopify functionality and available third-party integrations is not included.
  • Ongoing website maintenance beyond the specified post-launch support period will require a separate maintenance agreement.
  • Search engine optimization services beyond basic on-page SEO setup are not included.
  • Digital marketing, advertising campaign creation, or paid media management.
  • Legal compliance review or legal content creation.
  • Custom ERP or inventory management system development or integration beyond standard Shopify capabilities.

Change Request Process

We understand that requirements may evolve during the project. The following process outlines how change requests will be handled:

1. Change Request Submission

All change requests should be submitted in writing to the project manager, clearly describing the requested changes and their business justification.

2. Impact Assessment

Our team will evaluate the request to determine its impact on project scope, timeline, and budget. This assessment will be provided within 3-5 business days.

3. Change Proposal

A formal change proposal will be presented, outlining additional costs (if any), timeline adjustments, and implementation details.

4. Approval

The change request must be approved in writing before implementation begins. Changes may require contract amendments depending on their nature and scope.

5. Implementation

Upon approval, the changes will be scheduled into the project plan, and all stakeholders will be notified of any adjustments to the timeline or deliverables.

Minor changes that do not significantly impact project scope, timeline, or budget may be accommodated without formal change requests, at the discretion of the project manager.
